Cancellation & Refund Policy

Free Cancellation Window

Cancellations made 7 days or more before the check-in date are eligible for a full refund. The refund will be processed within 5-7 business days to the original payment method.

Partial Refund Window

Cancellations made between 3-6 days before check-in are eligible for a 50% refund of the total booking amount. Processing time is 5-7 business days.

No-Show Policy

Cancellations made less than 3 days before check-in or no-shows are not eligible for refunds. The full booking amount will be charged. We recommend reaching out to us if you face any emergencies.

Date Change Policy

Date changes are subject to availability. Requests made 5 or more days in advance can be accommodated without additional charges (subject to rate differences). Last-minute changes may incur a modification fee.

Early Departure

No refunds are provided for early departures or unused nights. We encourage guests to plan their stay accordingly.

Note: For special circumstances, medical emergencies, or travel disruptions, please contact us on WhatsApp. We review each case individually and do our best to accommodate genuine requests.

Standard Timings
  • Check-in: 2:00 PM onwards

Please inform us of your expected arrival time so we can prepare your room and arrange any necessary assistance.

ID Proof Requirement

All guests must present valid government-issued photo ID at check-in. Accepted IDs include:

  • Aadhaar Card
  • Passport
  • Driving License
  • Voter ID

Foreign nationals must present their passport and valid visa.

Early Check-in / Late Check-out

Early check-in and late check-out requests are subject to availability and may incur additional charges:

  • Early check-in (before 2:00 PM): Subject to availability, charges may apply
  • Late check-out (after 11:00 AM): Subject to availability, charges may apply

Please request in advance via WhatsApp for the best chance of accommodation.

Quiet Hours

To ensure a peaceful experience for all guests, we observe quiet hours from 10:00 PM to 7:00 AM. We kindly request guests to keep noise levels low during these hours.

House Rules

Bonfire & Music Timings

Bonfire sessions are available in the evening hours, typically from 6:00 PM to 10:00 PM. Music and gatherings should wind down by 10:00 PM to respect quiet hours and neighboring properties.

Smoking Policy

Smoking is not permitted inside cottages or indoor common areas. Designated outdoor smoking areas are available. Please dispose of cigarette butts responsibly in provided receptacles.

Damage Policy

Guests are responsible for any damage caused to resort property during their stay. Charges for repairs or replacements will be billed to the guest. Please report any accidental damage immediately to our staff.

Outside Food & Beverages

We offer delicious in-house dining options. Outside food is generally discouraged to maintain hygiene standards. However, we understand dietary needs — please discuss any special requirements with us in advance.

Safety Guidelines

Our resort is located in a natural mountain setting. Please observe the following for your safety:

  • Supervise children at all times, especially near slopes and outdoor areas
  • Use designated pathways and trails
  • Avoid venturing out alone after dark
  • Follow staff guidance during nature walks and activities
  • Keep cottage doors locked when not in the room
Visitor Policy

Non-registered visitors are not permitted in guest cottages. Day visitors must be registered at reception and may be subject to a visitor fee. Overnight guests must be included in the booking.

Children & Pets

Children Policy

Children of all ages are welcome at Himgiri Nature Retreat. We are a family-friendly property with activities designed for kids.

  • Children below 5 years: Complimentary (no extra bed)
  • Children 5-12 years: May incur additional charges for meals and extra bedding
  • Children above 12 years: Charged as adults
Extra Mattress / Bedding

Extra mattresses are available on request, subject to room capacity and availability. Additional charges apply. Please request at the time of booking for guaranteed availability.

Pet Policy

We love pets! However, bringing pets requires prior confirmation from our team. Please note:

  • Pets must be declared at the time of booking
  • A pet fee may apply
  • Pets must be kept on leash in common areas
  • Owners are responsible for pet behavior and any damage
  • Pets are not allowed in dining areas

Payments & Booking Terms

Advance Payment / Deposit

A booking is confirmed only upon receipt of advance payment. Typically, we require:

  • 50% advance at the time of booking
  • Remaining 50% at check-in or before

During peak seasons or special dates, full advance payment may be required.

Accepted Payment Methods

We accept the following payment methods:

  • UPI: Google Pay, PhonePe, Paytm, etc.
  • Bank Transfer: NEFT/IMPS/RTGS
  • Cards: Credit/Debit cards (Visa, Mastercard, RuPay)
  • Cash: Accepted at check-in for balance payments
Taxes & Additional Charges

All quoted rates are subject to applicable taxes:

  • GST as per government regulations
  • Any additional local taxes if applicable

Final invoice will include all applicable taxes. Tax rates are subject to change as per government notifications.

Invoice & Receipt

A detailed invoice/receipt will be provided at check-out. For GST invoices with company details, please provide your GST number at the time of booking or check-in. Digital copies can be emailed upon request.

Terms of Stay

Liability Limitation

Himgiri Nature Retreat takes reasonable precautions to ensure guest safety and security. However, we are not liable for:

  • Loss or damage to personal belongings
  • Injuries resulting from guest negligence or failure to follow safety guidelines
  • Circumstances beyond our reasonable control

Guests are advised to secure valuables and exercise caution during outdoor activities.

Force Majeure

We are not responsible for service disruptions or cancellations due to circumstances beyond our control, including but not limited to:

  • Severe weather conditions (heavy rain, snowfall, landslides)
  • Road closures or transportation disruptions
  • Natural disasters
  • Government restrictions or advisories
  • Power outages or utility failures

In such cases, we will work with guests to find suitable alternatives or reschedule stays where possible.

Right to Refuse Service

Himgiri Nature Retreat reserves the right to refuse service or ask guests to leave without refund in cases of:

  • Disruptive or inappropriate behavior
  • Violation of house rules
  • Illegal activities
  • Endangering safety of other guests or staff
  • Damage to property
